Reservations and Payments
All trips are quoted in US dollars ($) USD.

Eat Castelli Romani accepts payment through any major debit or credit card via PayPal or bank wire transfer.

All prices listed are PER PERSON. Prices DO NOT include personal items such as, but not limited to – travel documents, passports, visas, airline travel, travel insurance gifts and souvenirs.

Customers are required to make reservations in the full name that is printed on their government issued document they will use for travel. Eat Castelli Romani cannot be held responsible for incorrect names and identifying information voluntarily provided to us, by you, the customer. It is the responsibility of each customer to correct any incorrect reservation information given prior to the confirmation of your trip.
Customers that are reserving a tour together and paying from one account will receive only one confirmation email to the email address listed upon making your reservation.

In order to reserve your place on any of the trips at Eat Castelli Romani, you must agree to the following terms and conditions as well as provide a valid form of payment for your reserved tour. Payment in part or whole is an acceptance of these terms and conditions.

Upon receipt of your pre-reservation form, Eat Castelli Romani will issue a confirmation email and invoice of our travel fee within 48 hours. Your deposit is due within 48 hours to confirm participation on our tour. The remainder of your tour fees must be paid within 90 days of receipt of your invoice or we cannot confirm your place on tour. 

Written confirmation by us is required in order to participate on any tour with Eat Castelli Romani. It is the responsibility of the customer, to check the accuracy of the reservation details.

​Eat Castelli Romani/ Eat Castelli Romani LLC. will appear on the customer’s credit card statement in the case of an online transaction/purchase.

Let it also be noted that you are required to complete and sign a travel waiver, which must be received at least 45 days prior to your tour’s departure date in order to participate in our tours.
If a signed and completed waiver is not received when due, Eat Castelli Romani reserves the right to cancel the reservation and apply the cancellation fees as outlined below. 

Due to the complex planning, logistics, reserving, and ticket issuing that goes into our customer’s tours, Eat Castelli Romani asks that your tour fee be made in full no later than 90 days following the receipt of your invoice. If payment is not received within the requested time, as listed in your confirmation email/invoice, we cannot guarantee your participation on your scheduled tour.

Day-Tours 

Most of our day trips are reserved with two weeks notice. If reserving 'last-minute', we will be happy to assist you, and plan with you to ensure a great trip with us. However, we cannot always guarantee our 'standard' tours for last minute reservations. 

Day tours(retreats) are to be paid in full at the time of booking.

Where stated, fees include meals, and transport. 

If you are unable to attend a day tour for any reason, please cancel your booking via email: ciao@eatcastelliromani.com- no later than 5 days prior to the start date of your tour. 

If cancelling 5 days before the start date of your tour, you will be refunded 50% of your total day-tour fee.  Cancellations that occur after 5 days MAY BE refunded, in part, at our discretion. 

If a waiver is not completed prior to your tour, we, our third parties, and vendors accept your non-compliance and will hold your invoice as knowledge and acceptance of all of our terms and conditions, as outlined and agreed upon by you, the guest (inclusive of group participants named in your confirmation email) during your time of payment.

Last-minute reservations (custom vacations and week long retreats)

If reserving a trip ''last-minute'' or  60-90 days prior  to your scheduled trip's start date, we ask that payment be completed in full after the receipt of your confirmation packet and invoice email. 

*All reservations may be paid in full after receipt of your deposit.

Cancellation polices
Cancellation by you, the customer must be made in writing via email to info@eatcastelliromani.com and may incur an additional fee. Please include your name, booking number and the scheduled start date of your tour. A tour is considered successfully canceled only after we send successful notification via email and cancellation fees are assessed.

The following cancellation policies apply:

• Eat Castelli Romani reserves the right to charge cancellation fees as follows:

• If cancellation occurs 42 days or more prior to the start date of your trip, Eat Castelli Romani will retain the non-refundable deposit as well as 30% of your trip fee.

• If cancellation occurs between 41-31 days prior to your tour’s start date, Eat Castelli Romani will retain the non-refundable deposit as well as 50% of your trip fee.

• If cancellation occurs between 30-21 days prior to your arrival date Eat Castelli Romani will retain the non-refundable deposit as well as 80% of your trip fee.

• If cancellation occurs 20 days or less prior to your arrival date Eat Castelli Romani will retain the non-refundable deposit as well as 100% of your trip fee.

CANCELLATION BY EAT CASTELLI ROMANI
Eat Castelli Romani guarantees a trip will run once four or more guests have reserved their spots.  All custom tours are guaranteed.  We will do our best to inform you about potential cancellations well in advance.  When, for any reason, Eat Castelli Romani cancels a trip, the customer has the right to claim reimbursement, only of the sum paid to Eat Castelli Romani. Eat Castelli Romani is not responsible for expenses that are incurred in preparation for any cancelled trips, such as airline tickets, or for costs that are incurred due to travel delays, flight cancellations or illness.
In case of acts of force majeure (strikes, road conditions, weather and or the like) Eat Castelli Romani may modify the itinerary with alternative solutions maintaining the duration and quality of the service.

If necessary, trip-participation documents and payment are not received when due, Eat Castelli Romani reserves the right to cancel the reservation and apply the cancellation fees as outlined under section:

RESCHEDULING & TRANSFER POLICY
I, the customer understand that all tours hosted by Eat Castelli Romani are non-transferable.

Rescheduling is at the discretion of Eat Castelli Romani and we cannot guarantee that your tour will be rescheduled, as requested by you. If you need to reschedule your tour, please contact us at: info@eatcastelliromani.com

 

Tour details
Unless otherwise stated, Eat Castelli Romani provides round-trip ground transportation and accommodations for the specified number of nights of your trip (extended week long and custom vacations).

Children under the age of 18 who attend one of our tours must be accompanied by a legal parent/guardian, that is an adult who has a right under the law to travel with said child(ren). If bringing along children under the age of 18, you the customer, and responsible adult are solely responsible for the safety of that child(children), including providing necessary travel documentation and safety equipment (such as infant/child seats and or strollers etc.) where appropriate. You, the customer also agrees to hold Eat Castelli Romani, and all of our third-party providers harmless in the event of any incident to your child(ren) related directly or indirectly to voluntary participation on one of our tours.

Each of Eat Castelli Romani tours include one or more tour experts to assist you prior to your arrival in Italy. Our tour expert can be contacted via email, phone or video chat prior to your arrival on one of our tours. Your tour expert will provide you with invaluable information concerning pre-departure requirements, re- entry requirements, pick up and drop off information, recommendations on where to eat and what to see and do during the customer’s free time on tour and more.

Once you arrive in Italy our experts will accompany you on guided excursions and walking tours to help you experience genuine Italian life and to give you an insight into the local Italian culture and cuisine.

 

ITINERARY DETAILS AND DISCLAIMERS
Featured and Custom Itinerary(ies)- The information provided in the trip details documents, on our website, custom itineraries and brochures have been compiled in good faith. However, they are subject to change, and do not form part of the contract between the client and the tour operator, Eat Castelli Romani. The itinerary featured is correct at time of printing and/or publishing. It may differ slightly to the one in the brochure or online. Occasionally our itineraries change as we make improvements based on travelers’ comments and our own research.

While it is our intention to adhere to each itinerary as originally described, there is a certain amount of flexibility built into every itinerary and on occasion it may be necessary, or desirable to make alterations. Due to our style of travel and locations we’ll visit, travel can be spontaneous, we are a small area of Italy and things may change with little notice. The trip details documents, online tour pages, and brochures are only a general guide to the tour and region and any mention of specifics are by no means a guarantee that they will be visited or encountered.

Additionally, any travel times and response times listed are approximations only and subject to changes
due to local/unforeseen circumstances.

CUSTOMER RESPONSIBILITIES

Airline travel

It is each customer’s responsibility to book and reserve their own flight. Due to airline preference, frequent flier milage, airline alliance and other, Eat Castelli Romani cannot arrange air travel.

Arrival
Pick up can be arranged for customer’s arriving on the start date of their tour. Please note- we only make one airport pickup. Airport pickup will be scheduled between 8:30 a.m. and 11:00 a.m., the time to meet the majority of arriving flights. If possible, we ask customers to please schedule their flight between this window. Earlier arrivals will have a longer wait. Those arriving after noon will be asked to schedule their own arrival to their accommodation or pay an additional fee for pick-up at a later time. Details including signage and location of pickup will be detailed in your Travel Packet prior to your arrival in Italy.

Departure
Once your scheduled tour has come to an end, on the final day of your scheduled tour’s end date we will transfer you to the nearest airport (FCO). If being transferred by Eat Castelli Romani, departure must be on your tour’s scheduled departure date only. Failure to notify us of any departure time may result in the missing of your flight home or connecting flight. Please note-we only make one drop-off at the FCO airport and will schedule this time according to the majority of needs of customers on our tour. Customer’s may also arrange their own transportation from their accommodation on the final day of their scheduled tour with Eat Castelli Romani at a later time, for an additional fee. Eat Castelli Romani will not be held liable for any missed travel, or any fees incurred by but not limited to additional hotel stays, airline fees, a prolonged stay in Italy or the like. Eat Castelli Romani is not liable if any service departs or arrives later than the specified time, even if as a result the customer misses a connecting service. If you, the customer decides to depart on a date later than your tour’s departure date, Eat Castelli Romani will not be liable for the therein after 8:00 a.m. on the final day of your scheduled tour.

Luggage/Baggage

It is each customer’s responsibility to pack responsibly. Please, adhere to your local airline, airport and arrival airport’s rules and regulations in regard to items that are and are not permitted. Each airline has specific requirements detailing baggage size and weight. It is the responsibility of each customer to make sure that all baggage requirements adhere to your chosen airline. Eat Castelli Romani is not liable for any illicit or illegal items transported by you, the customer. Eat Castelli Romani also accepts no liability for additional charges incurred, additional security checks or any item discarded by any airline and or airport.

Documents

It is each customer’s responsibility to make sure they are in possession of any valid travel documents for entry into Italy (i.e. passports, visa, permits, certifications or I.D.’s) prior to your arrival in Italy. Eat Castelli Romani is not liable for any problems, delays or denied entry in the event that you are in possession of invalid travel documentation.

Passports

While we do our best to ensure easy entry into Italy, Eat Castelli Romani cannot be held liable for any denied entry into Italy due to passport issues. Please note, our partner accommodations may require a copy of your passport photo page, if required, you will be notified prior to your arrival in Italy. 

COVID/Coronavirus Info

Due to the continuously changing information regarding the current coronavirus outbreak we ask that you, the customer check your country’s Italian embassy and health ministry websites for the latest, most up to date info surrounding the pandemic and travel to Italy information and requirements.

Compliance

The customer agrees to comply with the authority of the local hosts, Travel Experts, and/or Guides, as well as the laws and regulations of Italy, including COVID-19 protocols, customs and foreign exchange restrictions. If the customer does not comply or disrupts the safety of the group, local hosts, travel Experts and/or guides, Eat Castelli Romani reserve the right to dismiss the customer from the tour. The customer will be asked by the local host or guide to leave the tour. A dismissed customer is not eligible for refunds under such circumstances.

Personal belongings

Eat Castelli Romani any vendors or third parties are not responsible for any theft, lost items or damages to customer’s personal belongings, regardless of the circumstances. It is the sole responsibility of the customer to ensure the security and safety of all personal items. 

Meeting place

We ask that each customer arrive at the designated meeting spot at least 10-15 minutes prior to transport to your tour’s scheduled activity. No refund will be given to those customers who do not show up at the meeting point at the set time. Customers who miss an arrival time due to negligence are not entitled to a refund.

Accommodations

Eat Castelli Romani and its accommodation partner(s) make every effort to comfortably host each individual customer. Accommodations are double occupancy (two persons to a room) or single occupancy. Room upgrades are available for an additional fee as listed on www.EatCastelliRomani.com. If your room upgrade becomes unavailable prior to your scheduled tour’s start date, you will be reimbursed for your upgrade fee only. Upgraded rooms are available on a first come, first served basis. If your room selection becomes unavailable at your time of booking, we will do our best to accommodate you in a similar room.

The customer accepts that use of air-conditioning in Italy differs greatly from the United States. Many of our partner residences/hotels were built before central air conditioning was introduced and MAY NOT come equipped with central air cooling.

Eat Castelli Romani will not be held liable if chosen or mentioned accommodation on www.EatCastelliRomani.com , in brochures, itineraries or the like become unavailable due to unforeseen circumstances e.g. remodeling, over booking, closure etc. or due to negligence on our part. If mentioned accommodation becomes unavailable we will communicate this to you in writing, if you are unsatisfied with our similar accommodation selections you may receive a refund of your accommodation fees ONLY.

Activity level

Eat Castelli Romani itineraries include walking and other activities which involve varying degrees of physical exertion. It is the customer’s responsibility to ensure that they are of adequate physical condition to participate in our tours.

Group Harmony

To ensure each customer has an enjoyable stay with us, Eat Castelli Romani reserves the right to accept, reject or remove any individual who is deemed disruptive to the synergy of the group. Expenses, including but not limited to cancellation fees, airline fees, accommodation fees etc. will be the responsibility of the expelled customer. All unused services will be non-refunded.

Travel insurance 

None of Eat Castelli Romani tours include individual travel insurance. It is the responsibility of each customer to obtain travel insurance prior to your arrival in Italy. Eat Castelli Romani strongly recommends guests arrange travel insurance to cover cancellations due to unforeseen circumstances. All claims to reimbursements for insurance must go directly through the insurance provider, and not Eat Castelli Romani or its affiliates.

Marketing

The customer agrees and allows Eat Castelli Romani to take photographs and film videos of the customer for the purpose of marketing. Such photographs and films may be used in but are not limited to, our website, brochures, print media and promotional videos. These stills, images and videos may be used for advertising, marketing, and publicity without obtaining further consent or payment from the customer for the use of these films and photographs.

Weather

The customer agrees that weather is unpredictable and that if any tour is delayed, postponed, or cancelled due to acts of nature, Eat Castelli Romani will make every effort to accommodate the customer but shall not be held responsible for any cancelled tours.

Complaints

If a problem arises during the customer’s vacation, please inform us immediately. Complaining at the time of the problem will likely yield the best results. It is, therefore, a condition of this agreement that the party communicates any problem to us and attempts to resolve any issue(s) before departure directly with Eat Castelli Romani as soon as the problem arises.

DISPUTES
Any complaint by the client must be communicated in writing to Eat Castelli Romani LLC. immediately. Complaints or disputes that cannot be resolved amicably between the client and Eat Castelli Romani LLC.,
shall be referred and directed to arbitration as listed below. Shall complaints or disputes incur legal costs, each party shall bear its own costs, fees, and attorney’s fees in the event of an action or proceeding arising out of this agreement.

BINDING ARBITRATION
I, the customer agrees that any dispute concerning, relating, or referring to these Terms and Conditions, itineraries, www.EatCastelliRomani.com, and the like shall be resolved exclusively by binding arbitration pursuant to the US Federal Arbitration Act.

Such proceedings shall be governed by substantive, not procedural Georgia law and will take place in Atlanta, Georgia. The arbitrator and not any federal, state, or local court agency shall have exclusive authority to resolve any dispute relating to the interpretation, enforceability, applicability, conscionability and/or formation of these Terms and Conditions, including but not limited to any claim that all or any part of this contract is void or voidable. Please understand that by agreeing to these Terms and Conditions, you, the customer and we, Eat Castelli Romani are waiving our right to trial by jury.

NON-DISPARAGEMENT

In the event of a dispute between you, the customer and Eat Castelli Romani, you agree to not engage in any conduct or communications, public or private designed to disparage Eat Castelli Romani, its employees, guides, contractors, vendors or suppliers. Where requested by law, you are not prohibited from sharing your thoughts and opinions as part of the legal process.

SEVERABILITY

In the event that one or more of the provisions, terms or clauses of this agreement is determined by a court of competent jurisdiction to be illegal, invalid or unenforceable, such offending terms or clauses shall be severed from the agreement and the remaining provisions, terms or clauses shall not be affected and shall remain.  In the event of such severance, the remaining provisions, terms and clauses shall be binding and enforceable.
